Invoice vs Receipt: What's the Difference?

People use the words "invoice" and "receipt" as if they mean the same thing. They don't — and sending the wrong one at the wrong time can delay your payment or confuse your records. The good news: the difference is simple once you see it.

The one-sentence difference

An invoice asks for money. A receipt proves money was paid. An invoice is sent before (or at the moment of) payment: "Here is what you owe me." A receipt is issued after payment: "Here is proof that you paid." Same transaction, two different documents, two different moments.

When do you send an invoice?

Send an invoice when work is done (or a product is delivered) and you are waiting to be paid:

  • Freelancers invoicing a client at the end of a project
  • A tradesperson billing for a repair
  • A small shop selling to another business on credit terms

A proper invoice includes your business details, the client's name, an invoice number, the date, an itemised list with prices, the total, a due date — and how to pay. Adding a payment QR code lets the client pay by scanning, which removes the most common excuse for late payment: friction.

When do you issue a receipt?

Issue a receipt the moment payment lands:

  • A customer pays in your shop or online
  • A client settles an invoice
  • Anyone who may need proof later — for expenses, warranties, taxes or returns

A receipt includes who was paid, what was bought, the amount, the date and time, and how it was paid (cash, card, transfer). Unlike an invoice, it needs no due date and no payment instructions — the money has already moved.

Can one document be both?

Sometimes. If a client pays immediately, a single document marked "PAID" with the payment details works as both the bill and the proof. Many small businesses do exactly this: send the invoice, and once paid, re-send it stamped PAID as the receipt. Just make sure it clearly shows the payment date and method, or it is not much use as proof.

Why the difference matters for your records

Mixing them up creates real problems at tax time and in disputes. Invoices show money you are owed (income you expect); receipts show money that actually moved. If a client ever claims "I already paid," your receipt copy is the answer. If you ever need to prove a client still owes you, the invoice is the answer. Keep both, organised by date — your future self will be grateful.

FAQ

Is a bill the same as an invoice? In everyday speech, yes — a bill is an invoice viewed from the buyer's side. The seller sends an invoice; the buyer receives a bill.

Does a receipt need an invoice number? No. A receipt should have its own reference (date and transaction details). If it relates to an invoice, including that invoice number is a helpful touch.

Can I refuse to give a receipt? In most places, a customer who asks for proof of purchase is entitled to one. Issuing receipts is also in your interest — they end payment disputes before they start.

What if I sent an invoice but was never paid? Then you have an unpaid invoice, not a receipt. Send a polite reminder quoting the invoice number and due date — and next time, add a payment QR code so paying takes your client ten seconds.
